Creating and Managing Contract Departments
In the contract details, users have the option to associate a department to a contract. This allows users insight into each departments spend, potentially informing their future decisions.
Contract departments are highly specific to an organization. There is no default list available in the TMS at this time. Administrators must create contract departments before that field can be populated on the contract.
in order to create and manage contract departments, users must have the Manage Contract Departments permission under User Management.
There is always an "Unassigned" option on the Department field in the Contract. You do not need to create this option should you wish to use it.
Creating Contract Departments
- Go to the Administration Button on the bottom of the left navigator.
- Select the Card titled Contract Departments. If you do not see this option, please check with the TMS administrator that you have been given the correct permission.
- If no contract departments have been created before, you will see the following:
- Click the button in the top right-hand corner titled "Create Department".
- Enter the name of the department you wish to add in the field titled Department Name.
- Save your contract department.
Users may add as many contract departments as they desire,
Edit Contract Department
Contract departments can be edited at any time.
Please note that when a contract department is edited, the changes will take effect everywhere that contract department appears.
- On the contract department rows, there will be an edit pen.
- Select the edit pen for the contract departments you wish to change.
- Edit the name of the contract department using the department name field.
- Save your changes.
Delete Contract Departments
Contract departments can be deleted if they are associated with 0 contracts.
- On the contract department rows, there is a column labeled Usage that indicates how many times the department has been used across contracts
- In order to delete a contract department, its usage must be 0. The trash can will only be present on those contract departments.
- Select the trash can on the contract department you wish to delete.
- Review the delete confirmation.
- If you wish to continue with the deletion, select the red Delete button, otherwise select cancel.
