Dashboard and Reports for TMS Administrators

The Contracts module provides a way for users to store, review, and manage software application contracts. The information entered into the Contracts is extracted into a Dashboard and canned reports for TMS administrators.

Dashboard

To access the dashboard, select the Dashboard icon on the left nav menu.

On the Dashboard, you will be able to quickly see an overview of important numbers in your district. These include:

  1. Expiring Contracts: Contracts that are set to expire within 90 days of the set End date. While you only see the most urgent 3 on the dashboard, a full list is calculated
  2. Total Products with Spend: When a product is associated with a contract, it is considered a "Product with Spend". This number calculates the total number of unique products associated with all active contracts
  3. Products with Most Spend: List of products with the most spend associated to them in the active contracts. You will see the top five (5) products on the dashboard
  4. Total Contract Spend by Location: Every contract is assigned a designated location to associate the contract with. The number displaying the total is calculated per location using the currently active contracts total costs. You will see an overall total and the top three (3) schools with most spend

 

Reports

To access reports, select the Reports icon on the left nav menu.

You will have access to seven (7) reports: 

  1. Expiring Contracts: Full list of products that will expire within 90 days of the current date
  2. Products with Most Spend: Full list of Products with Spend ordered from most to least. 
  3. Contract Spend by Location: Full list of all locations and their associated spend. This report is populated by the location selected at the top of the contract -- not from the line item Location dropdown.
  4. Contract Spend by Department: Full list of departments and their associated spend. This report is populated by the department selected at the top of the contract -- not from the line item Department dropdown.
  5. Product Summary Report: Comprehensive list of all active contracts with associated product spend and the following information: 
    • Vendor Name
    • Product Name
    • Contract Number
    • Total Product Cost Amount
    • Billing Cycle
    • Start Date
    • End Date
    • Auto Renewal Status
  6. Budget Code Report: Comprehensive list of all product line items from contracts and the following associated fields:
    • Vendor Name (not visible on screen but present in the CSV export)
    • Product Name
    • Budget Code
    • Line Item Cost
    • Department (from the line item level)
    • Location (from the line item level)
    • Start Date
    • End Date

Changing the Row Quantity Displayed

By default, a report will show 25 rows of data. To view additional rows of data on the screen at once, you can change the number of rows shown by selecting from the tabs at the top left of the report.

Exporting a Report

Reports can be exported into a CSV format for additional data manipulation or sharing. This can be accomplished by clicking the Export to CSV button at the top right of the report.

Once the export processes, the button will turn green and read "Download CSV."

Once you click the green Download CSV button, the download will begin. You can locate the downloaded .csv file in the downloads list in your web browser and/or in the established downloads location on your device (often the "Downloads" folder).

Note: Only the rows visible on the screen at the time you click the Export to CSV button will display on the export. You must click "All" prior to exporting the CSV in order for all data rows to be present in the CSV.
