Locating and Compiling Digital Products
In preparation of building out your Directory, use these ideas and examples to help guide you in locating and compiling the digital products used in your division.
Answering the Question: What is our staff using?
It may not be feasible to locate every single digital product being used in a school system. However, here are the most common ways you can identify as many products as possible for the initial product load-in:
- Obtain reports from network traffic that summarize staff-accessed products
- Check ClassLink or Clever analytics for both division-created apps and staff-created bookmark apps
- Send out a staff survey
What information do I need to know for each digital product?
As you prepare to build out your Directory, it is helpful to know and document the following in a spreadsheet:
- Name of the product
- What school(s) it is used in
- What grade level(s) it is used in
- Its primary purpose (e.g. assessment, behavior management, home communication)
- Its primary content area(s) (e.g. ELA, Math, Health & PE)
- Whether the product is district-preferred or paid for or a free tool teachers access on their own
See a sample below.

During onboarding, your Customer Success Manager will be able to use your product listing spreadsheet or document to complete the initial build-out of your Directory.
Sample Staff Survey
Asking staff for a list of every tool they use may not be ideal. You may end up with more data than you are able to efficiently sift through. Using any of the below sample questions that ask for a smaller list of tools can help you obtain robust data while teachers can quickly complete the survey. This data can not only help with your TMS but can also offer other valuable insights!
Sample Questions
- At what campus are you located?
- What grade level(s) do you teach?
- What content area(s) do you teach?
- What are your top 5 favorite products or digital tools to use in the classroom that are not currently paid for by the division?
